Executive Assistant (EA / PA)

Job Introduction

We have a vacancy in our Executive office for an experienced EA / PA.

The Executive assistant will primarily be responsible for providing support to two Executive Directors - The Executive Director of Finance, and the Chief Information Officer. The successful candidate will also provide support to the Exec Directors' direct reports and wider teams as and when required.

You would be reporting into the Exec Assistant Team Lead and working alongside a small team of hardworking EA's. This is a small but tight knit team who work together closely to provide exceptional service and you will be fully supported.

 

 

Role Responsibility

This is a very busy and demanding role which will allow the successful candidate to make a large impact on the organisation. 

Duties are varied, but will include:

  • Diary management (outlook).
  • Attending meetings and taking/distributing  minutes/action points.
  • Providing outstanding personal and confidential administrative and secretarial support.
  • Managing Exec/Board papers - distributing and uploading.
  • Supporting the Executive to manage their Divisional risk registers and audit points through to completion.
  • Ensuring that correspondence is responded to, and dealt with professionally and promptly.
  • To work to achieve close and harmonious relationships across the offices and departments in all aspects of the work, especially at the interface with other departments.
  • Maintaining a good level of knowledge of operational activities in the relevant departments, being able to update the Exec on key happenings.

The Ideal Candidate

This role is very demanding so we are looking for a candidate with demonstrable experience and skills in the following:

  • Commercial awareness
  • Stakeholder management, including at senior level
  • Time management
  • Intermediate MS office skills 
    • Outlook, Word, Excel & PP
  • Previous PA/EA experience at Director level
  • Negotiation and persuasion skills

This is a full time, permanent position, working 37.5 hours per week Monday - Friday. We are unable to consider applications from candidates who require part time or compressed hours.
